Our Information Security Policy is designed to safeguard all information related to our clients, partners, vendors, and team members, including sensitive business data, intellectual property, and client information. Through these measures, we maintain the highest standards of information and financial security.
  • Disaster Recovery_Business Continuity Plan
At SLP, we recognize the importance of being prepared for disruptive events and have developed a comprehensive Disaster Recovery and Business Continuity Plan to ensure the continuity of critical business operations. The purpose of this plan is to minimize downtime and enable us to respond effectively to any unexpected disruptions, ensuring that our services remain operational and our clients are supported. Our plan includes a detailed communication strategy, outlining how information will be disseminated to employees, clients, vendors, and other stakeholders during and after a disruption. This includes contact lists, alternative communication methods, and procedures for providing regular updates to keep everyone informed and aligned. We also prioritize data backup and recovery by implementing regular backup procedures to safeguard the availability and integrity of critical business data. In the event of data loss or system failure, we are equipped to recover vital information swiftly to minimize operational disruption. Additionally, SLP evaluates the business continuity plans of key vendors and suppliers to ensure they can continue providing critical services during a disruptive event. If necessary, we also identify alternative vendors or suppliers to maintain service levels and ensure the uninterrupted flow of operations. Through these proactive measures, SLP ensures business resilience in any challenging situation.

Our promotion policy offers employees eligibility after two years, with decisions based on comprehensive performance reviews. Fathers receive one month of fully paid paternity leave, with three months of part-time remote work. Additionally, we recognize the importance of family life by allowing employees to bring their children with a caretaker to work. Sustain Labs Paris is committed to nurturing talent and creating a stable, happy work environment.
  • Procedure for incident reporting and investigation
The Incident Reporting and Investigation procedure outlines the steps for reporting and investigating workplace accidents, near misses, and safety violations to ensure a safe working environment. Employees, contractors, and stakeholders must report incidents within 24 hours to their supervisors or directly to the Directors for privacy. An investigation team, including HSE committee members, will analyze incidents, conduct site inspections, and interview witnesses to determine the root cause. A 5-Why analysis will be used for significant incidents to identify systemic issues. The HSE manager will update the investigation report, implement corrective actions, and track progress. Lessons learned will be shared across teams, and the entire incident management system will be reviewed following any incident. The goal is to prevent future occurrences and ensure workplace safety.
  • Health, Safety, and Environment Policy
The Health, Safety, and Environment (HSE) Policy prioritizes the health and safety of all employees and the environment. The company ensures compliance with regulations, integrates HSE practices into operations, and fosters a safety culture across all teams. Employees and contractors receive training for safe operations, emergency response, and crisis management. The policy includes regular hazard assessments, risk mitigation measures, and a robust incident reporting and investigation system. The goal is zero harm and minimal environmental impact through resource efficiency, waste reduction, and sustainability efforts. The HSE Committee, consisting of representatives from each team and led by the HSE Manager, oversees policy implementation, investigates incidents, coordinates training, and manages risks. The committee ensures continuous improvement by reviewing HSE performance and taking corrective actions. Through these efforts, we aim to maintain a safe, compliant, and environmentally responsible working environment.
  • Risk Management Policy
The Risk Management Policy establishes a framework to identify and mitigate both internal and external risks that could affect business operations. The policy emphasizes the importance of business continuity and environmental and people responsibility. It integrates risk management into all aspects of operations, ensuring proactive mitigation strategies to minimize potential risks for both the company and its partners. The policy aims to enhance the organization’s ability to anticipate risks, support informed decision-making, improve health, safety, and environmental performance, and ensure compliance with legal and regulatory standards. It also focuses on building client confidence, achieving strategic objectives, and creating value for communities. The risk management process is applied at three levels: project-wise, team-wide, and entity-wide. Project leaders identify and mitigate risks specific to their projects, while team leaders ensure proper risk management practices are followed. Annually, all teams assess the organization’s overall risk strategies and identify future risks. Risk management oversight is provided by the HSE Committee, with regular quarterly and annual discussions to ensure effective mitigation strategies. Risk reporting is an integral part of every project, ensuring that identified risks and mitigation plans are thoroughly reviewed and discussed with relevant teams before project initiation.
  • Waste management policy
The Waste Management Policy focuses on minimizing environmental impact through responsible waste and water management practices. The policy applies to all business operations, offices, and project sites where the firm has control. The company is committed to reducing waste, promoting sustainability, and ensuring compliance with national, regional, and local environmental regulations. Key principles of the policy include adhering to the 5R framework (refuse, reduce, reuse, recycle, and responsible disposal) and setting targets for waste reduction, recycling, and reuse. The company also prioritizes paperless operations and the reduction of single-use plastics. Waste is segregated into categories such as recyclable, non-recyclable, organic, and hazardous, with proper disposal through certified recycling agencies. Waste is measured and monitored, with training provided to employees on responsible waste handling, including e-waste, biomedical waste, and batteries. The company continuously seeks innovative solutions to minimize waste and its toxicity, while raising awareness among stakeholders on sustainable waste management practices. Regular reviews ensure the policy remains effective and aligned with best industry practices.
  • Emergency Preparedness and Disaster Recovery Policy
The Emergency Preparedness and Disaster Recovery Policy ensures the company is well-prepared to respond effectively to emergencies and minimize business disruptions. The policy outlines procedures for various emergencies, including fires, medical incidents, and floods, with clear response protocols for each scenario. To ensure readiness, periodic training sessions and emergency drills are conducted, helping employees familiarize themselves with protocols, including first aid. The company ensures that emergency resources, such as first-aid kits, fire extinguishers, and marked emergency exits, are available and regularly maintained. A communication plan is in place to provide timely updates to employees, clients, and stakeholders during and after an emergency. Regular data backup procedures are also implemented to protect critical information and evaluate the continuity plans of key vendors to ensure uninterrupted services during disruptive events. If necessary, alternative suppliers are identified. After each emergency, feedback is collected to assess response effectiveness and update the emergency plan for continuous improvement, ensuring preparedness for future incidents.
  • Contractor selection criteria
The Contractor selection criteria ensures that all contractors align with the company’s commitment to responsible operations and environmental sustainability. Contractors must demonstrate relevant industry experience, expertise, and a strong reputation, supported by references from previous clients. They must possess all necessary licenses, permits, and certifications required by local regulations and industry standards. The contractor’s Health, Safety, and Environmental (HSE) policies and procedures must be clearly documented, tailored to the specific work to be performed. Additionally, contractors must have established worker HSE training programs and meet minimum requirements for reporting on HSE performance. HSE training will be provided to contractors to ensure alignment with the company's safety and environmental goals. This comprehensive approach guarantees that contractors meet our high standards for quality, safety, and sustainability in all projects.
  • Quality control policy
The Quality Control Policy ensures the delivery of high-quality services that meet or exceed client expectations and industry standards. The policy focuses on a team-based approach to accountability, with internal reviews conducted at each project stage to maintain quality. Feedback from both team members and clients is continuously gathered to improve processes. All team members are responsible for meeting quality standards, with individual accountability for timely, high-quality work. Senior employees mentor juniors, ensuring skill development and quality assurance. No output is delivered to clients without prior review and approval. The policy also emphasizes continuous improvement through performance evaluations and client feedback, ensuring that systems are refined and any errors addressed. The goal is to deliver reliable, efficient outcomes aligned with industry best practices.
